Advancement Associate, Marian House

Job Summary:
The Advancement Associate provides administrative support to the Advancement Office and participates in all fundraising, marketing and public relations activities including, but not limited to; donor and public relations, direct mail appeals, proposal development, and special events.

Duties and Responsibilities:
The Advancement Associate is assigned duties, by the Director of Advancement, to provide a variety of support services to the Advancement Office with high attention to detail and timeliness. Examples of such duties include:

  • Process donations and prepare acknowledgement letters and other correspondence.
  • Maintain foundation, corporation and individual donor files.
  • Continually manage donor database records, regularly updating and correcting records.
  • Coordinate productions and mailing of appeal letters.
  • Maintain guest lists, gather and prepare registration materials and other duties as assigned for fundraising events.
  • Prepare media materials for distribution. (i.e. copying, filing, mailing, e-mailing)
  • Handle all administrative details associated with the Advancement office (i.e. prepare and distribute notices, agendas, minutes, etc.).
  • Conduct preliminary research on prospective corporate foundations and individual donors.
  • Assists with grant writing and data collection needed for proposal development.
  • Assists with the development and execution of online, integrated, and interactive campaigns.
  • Cooperate in the agency’s team approach to service provision by participating in program activities as appropriate and requested. This will occasionally require presence outside regular business days and office hours.
  • Other duties as assigned by the Director of Advancement, Advancement Committee Chair, Executive Director

Minimum Qualifications:

  • Associate's or bachelor's degree in a related field.
  • Experience in administrative support in a not-for-profit development office preferred.
  • Proficiency in computers, Microsoft Applications, Donor Database management experience
  • Excellent verbal and written communications skills
  • Ability to present information concisely and effectively, both verbally and in writing
  • Ability to organize and prioritize work
  • Ability to work independently with little supervision
  • Excellent interpersonal skills
  • Holds valid drivers license and maintains access to a reliable automobile
  • Background and ability to understand, appreciate, and carry out the Marian House mission; interpersonal skills to engage staff and volunteers in doing same.

We seek a part-time development director to work with our executive director and Finance & Fundraising Committee to create and execute an annual development plan that includes identification, solicitation, recognition and stewardship of individual, corporate and foundation donors.

Requirements:

  • Three years experience in nonprofit fundraising
  • Success in implementing successful individual and major gifts programs
  • Experience working collaboratively with an executive director and board of directors
  • Experience with database software, Microsoft Office product suite including Word mail merge and Excel spreadsheets
  • Excellent communication and writing skills
  • Experience organizing special events
  • Ability to oversee database administration, upkeep, and necessary development to keep pace with fundraising

Assistant Director of Parent Giving, Trinity College
